We're Hiring! Personal Assistant to the Executive Director, Justice Teams Network

POSITION SUMMARY: 

The Justice Teams Network (“JTN”) is a new and growing statewide coalition dedicated to the eradication of state violence in California and beyond.

This position, that of Personal Assistant to the Executive Director of the Justice Teams Network, is one that is very dynamic and aligned and rooted in social justice politics. The nature of the job is that it requires advanced experience, a study of radical politics, a need to be aware of and mindful of privacy and personal safety and security, a willingness to learn, and a desire to be in service.

This full-time position offers a living-wage salary and good benefits.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Must be available throughout the day to support ED’s schedule

  • Must be available some weekends and evenings

  • Keep ED’s calendar with Google calendar

  • Receive and send meeting requests 

  • Set meetings and coordinate logistics

  • Be point of contact for ED with team members

  • Respond to all email inquiries for ED and follow up accordingly

  • Communicate with a wide swath of community partners and team members, including local politicians, members of the community, staff and volunteers, administrators, professors, organizers, members of theater and art communities, etc.

  • Maintain running list of meetings to set and follow up

  • Maintain deadlines and give reminders

  • Give timely updates throughout day as needed, to and from ED

  • Do follow up for variety of projects (gathering information, paperwork, etc)

  • Creating and providing documents needed by administrators for ED including tax documents, payment information, etc.

  • Maintain ED’s passwords and log ins for variety of applications

  • Coordinate with JTN Network Manager to reconcile monthly expenses, including managing receipts etc.

  • Create and send meeting details including Zoom link and calendar invites

  • Take notes during meetings

  • Book travel including flights, hotel, rental cars, etc as needed

  • Create schedule when ED is traveling for work

  • Coordinate with other team members to ensure their attendance at meetings, etc.

  • Coordinate with members of JTN, APTP, Youth Together, 3GirlsTheater, Lower Bottom Playaz, etc. to schedule regular meetings and coordinate communication

  • Update website and social media of ED’s speaking engagements, community events, upcoming events

  • Coordinate with other team members to ensure timely streamlined efforts and communication

  • Other duties as determined necessary

EDUCATION AND EXPERIENCE:

  • Knowledge of state violence and police terror

  • Experience working as part of a team

  • Experience working as a personal assistant or related experience

  • Experience communicating with community partners, families and organizations

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to work independently and also as part of a team

  • Ability to communicate effectively with team members

  • Working knowledge of social media a plus

  • Knowledge of Word, Excel, MailChimp, Google calendar, Google docs, Gmail, Squarespace

PHYSICAL DEMANDS:

The project requires home computer and telephone time and usage.

WORK ENVIRONMENT:

The position will work from home or from shared office, with meetings with Justice Teams Network staff and others via phone, online or in person. 

This position is currently remote due to COVID safety precautions, but will be based in our Oakland office and will require the ability to be in the office in person for some or all of the work week.
